Changing your plan or edition

Change your BooksPOS plan yourself in Plan & billing, or ask the team to move you between the Cloud and Offline editions, now or at the end of the period.

BooksPOS comes in two editions, Cloud (sold monthly or yearly: the store PC syncs to BooksPOS Cloud, the owner portal shows every branch) and Offline (a lifetime licence paid once, with no yearly fee: the store PC checks its licence but sends no business data), and in several plans with different limits. You can change plan yourself by paying for another one. Moving between editions, or any change that needs an agreement about money, is done for you by the BooksPOS team.

Changing plan yourself

  1. In the owner portal open Plan & billing (under Account).
  2. Under Renew or change plan, choose the edition tab (Cloud or Offline), then a plan and a period.
  3. Choose Get invoice, pay it by bank transfer, JazzCash or EasyPaisa, and send the proof.
  4. When the BooksPOS team verifies the payment, the new plan starts. If your current paid period is still running, the time left on it comes along at what it was worth, measured against the new plan's price for the same time.

Your add-ons are renewed on the same invoice where the new plan sells them; see Add-ons. The Offline edition runs one branch, so a business with several branches cannot choose it.

Moving up on an Offline lifetime licence

An Offline licence is bought once. After that, Plan & billing offers only a larger Offline plan, under Upgrade your licence, and it costs the difference between the two prices: from Single Counter (Rs 24,999) to Standard (Rs 34,999) is Rs 10,000. The same plan or a smaller one is not sold again. The upgraded licence is still for life, and any add-ons you bought stay with it.

When the BooksPOS team moves your business

Ask from Support in the owner portal, or on the contact page. The team can move a business between plans and editions:

  • Now: the plan and edition change at once. Your paid-until date stays as it is. An Offline lifetime licence has no end date, so its changes are always made now; moving it to the Cloud edition ends it, because Cloud is paid monthly or yearly: you then choose a Cloud plan within the grace days, and the team notes a credit for what you paid if that was agreed.
  • At the end of the paid period: the move waits until your paid-until date (or the end of the trial) and then takes effect by itself. Until then Plan & billing shows it as Planned by the BooksPOS team, with its date and note. If you pay for a plan yourself before that date, your choice replaces the planned move.

With every move the team writes a note of why and what was agreed about money:

  • A charge is an invoice in Plan & billing, paid like any other. Paying it changes nothing else.
  • A credit is noted with the change and shown to you. It is not refunded automatically: ask the team to use it on your next invoice.

You are told by email, and Changes by the BooksPOS team in Plan & billing lists every move with its date, note, charge or credit.

What the store PC does

The terms of your licence change with the plan and edition. Each store PC gets a new signed licence at its next licence check (at least hourly while it is online) and shows the new plan and edition under Account › Plan & licence; Check now there fetches it at once.

  • Moving to Offline stops sync. From the moment of the move BooksPOS Cloud refuses the store PC's sync with a clear message, and the store PC fetches its licence at once and stops sending business data. It keeps selling, and after that check-in it works offline until the end of the period paid for. The owner portal stops showing new figures for the branch.
  • Moving to Cloud starts sync. Once the store PC's new licence says Cloud, it sends what it recorded while it was Offline, in order, and the owner portal shows the branch again.
  • A plan with other limits takes effect on the store PC with the licence. Nothing already set up is switched off; only adding one more counter, staff account or branch beyond the new limit is refused.

Common questions

Will I lose my sales or stock when the edition changes?

No. The store PC keeps every record in both editions. Only whether it is sent to BooksPOS Cloud changes.

Can I move to Offline with two branches?

No. The Offline edition runs one branch. A business with several branches stays on the Cloud edition.

I paid for a year of Cloud and want Offline now. What happens to the rest of the year?

Your paid-until date stays as it is. What the rest of the period was worth is agreed with the team and noted as a credit or a charge; nothing is refunded automatically.

When does the store PC show the new plan?

At its next licence check, at least hourly while it is online, or at once with Check now under Account › Plan & licence.
