The owner portal at bookspos.pk is not only for the owner. On the Team page an owner adds the people of the business who should see its figures from outside the shop: a manager, an accountant, a partner who only reads. Each person gets a role that decides what the portal shows them and what they can change, and each chooses their own password. This guide covers the roles, adding a person, the invitation, and turning an account off or removing it.
These are accounts for BooksPOS Cloud (the portal and the Owner app). The cashiers and other staff who sign in on the till have their accounts on the store PC, under Staff & counters; the two are separate. See Staff, roles and counters.
The four roles

The menu shows each person only the pages their role may open, and a page leaves out the buttons the role cannot use. An accountant, for example, sees the plan and every invoice under Plan & billing, but not Get invoice or Send proof.
How to add a person
- Sign in to the portal as an owner and open Team (under Account).
- Under Add a person, type their Name and their own Email. The invitation and any later password reset go to that address.
- Choose the Role.
- Choose Add and invite.
The person appears in Accounts with the status Invited. BooksPOS emails them a link, and the Team page shows the same link once, under Invitation link for …, with a Copy button.
An email address that any BooksPOS Cloud account already uses is refused: "This email address already has a BooksPOS Cloud account. Use a different address for this person." One address is one account.
What the invited person does
- They open the link and see Set your password, with the business's name and their role.
- They type a password of at least 10 characters, twice, and choose Save the password.
- They sign in at the portal with their email and that password.
Nobody is given a password by someone else. The link works once and for 7 days; until it is used the account cannot sign in. After signing in, each person can turn on two-step sign-in for their own account under Security. See Your BooksPOS Cloud account and two-step sign-in.
If the email does not arrive
- Copy the link yourself. Right after adding the person, the Team page shows the link. Copy it and send it to them privately, for example on WhatsApp. Anyone who has the link can use it, so send it only to that person.
- Send again. If the link was lost or the 7 days have passed (the row says "The link has expired: send it again"), choose Send again. A new link is emailed and shown; the earlier one stops working.
- If the portal says the invitation could not be emailed, the link on the page is the way to pass it on.
Changing a role
In Accounts, choose the new role in the person's row and Save. It applies from their next click. You cannot change your own role: another owner does that.
Turning an account off, or removing it
- Turn off signs the person out of the portal and the Owner app at once, on every browser and phone, and refuses them at sign-in: "This account has been turned off. Ask an owner of your business to turn it on again." Nothing is deleted. Turn on lets them sign in again with the password they had. Use this when someone is away, or while you decide.
- Remove signs the person out everywhere and deletes the account. What they did stays in the security log under their name. Their email address becomes free to use again.
- Cancel invitation removes an account whose invitation was never used; its link stops working.
Two rules protect the business. It always keeps one active owner: the only active owner cannot be removed, turned off or given another role until another person is an owner. And nobody turns off or removes their own account.
Every one of these changes is written to the security log with who made it, when and from which network address. Owners and managers read the log on the Security page.
The Owner app
People you add sign in to the BooksPOS Owner app for Android with their own email and password, and their own two-step sign-in. The app follows the same roles: every role sees the figures its branches reported, and the list of store PCs is for owners and managers. Common questions
Can my accountant see our sales without being able to change anything?
Yes. Add them as Accountant: they read the dashboard, stock, khata, purchases and expenses, the licence and the invoices, and nothing on those pages lets them change a price, a setting or a store PC.
Is this the same as the staff on the till?
No. Cashiers, managers and warehouse staff who sign in on the till are made on the store PC under Staff & counters, and work without internet. Team accounts are for BooksPOS Cloud only. A person who needs both has one of each.
What if I added the wrong email address?
Choose Cancel invitation in that row, then add the person again with the right address. The link sent to the wrong address stops working at once.
Can a manager add or remove people?
No. Only an owner opens the Team page. If a manager should do it, an owner gives them the Owner role, which also gives them Plan & billing.
A person forgot their password. Do I send the invitation again?
No. Once they have set a password, they use Forgot your password? on the sign-in page; the reset link goes to their own email. Send again is only for an invitation that was never used.
