The BooksPOS Owner app for Android

Install the BooksPOS Owner app, sign in with your portal account and two-step code, read each screen and its freshness, lock the app, and sign out a lost phone.

The BooksPOS Owner app puts your branches on your Android phone: today's sales against yesterday, the last 30 days, every bill, your best sellers and what needs you. It is read-only: nothing in it bills, changes a price or touches stock. It reads what your store PCs send to BooksPOS Cloud, so it works for a business on the Cloud edition (any Cloud plan, and during the trial).

Install and sign in

  1. On your Android phone (Android 7.0 or later), open the Owner app page and choose Download for Android. The app is downloaded from bookspos.pk, so Android asks once to allow installing apps from your browser: allow it for this download, then open the file.
  2. Open BooksPOS Owner and sign in with the email and password of your owner portal. People you added on the portal's Team page sign in with their own email and password, and the app shows what their role allows; see Team accounts and roles in the owner portal.
  3. If you use two-step sign-in, type the 6-digit code from your authenticator app. If you do not have your phone with the authenticator, choose Use a recovery code and type one of your recovery codes; each works once. See Owner account and two-step sign-in.
  4. Under More › Settings, turn on App lock: the app then asks for your fingerprint or phone PIN when you open it after a while away.

What each screen shows

  • Home: net sales, bills, profit and returns across your branches today, against yesterday; a card per branch; how customers paid today; the last 30 days as a chart; this month; and your best sellers over 7 or 30 days.
  • Bills: the bills and returns of any day, for all branches or one, with how each was paid and what went on khata. A voided bill is marked; open it to see the reason. Open any bill for its lines, payments, cost and profit, and its FBR status.
  • Alerts: a branch that has gone quiet (STALE), invoices not with FBR yet, stock transfers on their way, item changes from the portal that need a decision, and your plan (a trial ending, a paid period ended).
  • Stock: every title with what each branch has on the shop floor and in the godown, what is low or out of stock, and the stock value. Needs BooksPOS 0.9.7 or later on the store PC; a branch on an older version shows "Not reported yet".
  • Khata: customers who owe you (past their credit limit, oldest unpaid bill, last payment), with Call and a WhatsApp reminder; suppliers you owe, advances and open return claims. Purchases and expenses by day open from Home.
  • Items and prices (under More): search by title, ISBN, publisher or SKU; each item's price, units, pack sizes and barcodes as its branch last reported them, and its price at your other branches.
  • More: notices from the BooksPOS team, your store PCs and when each last checked in, your plan, settings, help and support, and Sign out.

The books themselves, the Day book and Profit & loss for any period, are read in the owner portal, which works in your phone's browser. They need BooksPOS 1.1.0 or later on the store PC; see The day book and profit and loss in the owner portal.

How fresh the figures are

Every figure comes from what a store PC sent. A store PC sends its new sales every 15 seconds while it has internet, and keeps billing when it does not. So each branch shows the time it last reported, and a branch that has not reported for 15 minutes is marked STALE: its figures may be behind, because the shop may be billing offline. Nothing in the app is called live. Open the app, or pull down on any screen, to fetch the figures again; what needs you is listed under Alerts. Without internet the app shows what it last loaded, with the time.

A lost or sold phone

In the owner portal open Security and find Phones signed in to the Owner app. Choose Sign out next to the phone: its access stops at once. A phone that has not used the app for 30 days is signed out by itself.

The Cloud edition and the Offline edition

The app shows what store PCs send to BooksPOS Cloud, so it is for a business on the Cloud edition. An Offline edition shop keeps its sales on its own PC and never sends them to the cloud; signed in with such an account, the app says it has nothing to show. The owner portal works in any phone's browser too.

Common questions

Can a member of staff use the app?

The app signs in with the owner portal's account, which is the owner's. Staff accounts on the store PC do not sign in here.

Why is a branch STALE when the shop is open?

Its store PC has not reported for 15 minutes, usually because the shop's internet is down or the PC is off. The shop can still be billing. See Cloud sync problems.

Does the app use much data?

Very little: each screen is a small summary, fetched when you open it or pull down to refresh.
