In the school season the same class lists are sold again and again. Instead of typing twelve items for every parent, the cashier presses F6, picks the school and class, and the whole set goes on the bill at the set discount. Items not in stock can be ordered for the parent in the same step. This guide covers the counter; setting up the lists is in School course sets: class lists, versions and demand.
How to sell a set
- On Point of sale, press F4 and choose the parent (the customer), if you know them. A customer is needed to order missing items or to pay from an advance.
- Press F6 (School set: "Add a school's class list to the bill").
- In the School set window, type part of the school or class in School or class, for example grammar 5, and choose the list. Only published lists appear ("No lists on sale" if none is published).
- Every item of the list is shown with its Qty, Stock and Amount after the set discount:
- compulsory and consumable items are ticked;
- optional items are not ticked;
- in each choice group, one item is ticked: the first one in stock.
- Untick anything the parent does not need, such as a book the child already has. Tick an optional item the parent wants, or the other item of a choice group.
- Check the totals: Ticked: is the whole set as ticked, On this bill now: is what is in stock and goes on the bill.
- Choose Add to bill, or Add available, order the rest (below).

When something is not in stock
The Stock column says in stock, only 2 free or not in stock. The window explains what happens to the ticked items that are missing.
- Add to bill puts only what is in stock on the bill. The missing items are left out, and the till lists them: "2 item(s) of the set are not in stock and were not added: …".
- Add available, order the rest (only with a customer chosen) puts what is in stock on the bill and turns the missing items into an order for that customer, at the set discount: "MAIN-OR000014: 2 item(s) not in stock ordered for Ayesha. The rest is on this bill." The order waits on Pending deliveries until stock arrives.
If you opened the set without a customer, the window says: "To order them, close this, choose the customer and open the set again."
When stock arrives, Reserve what is free on the order holds the copies for the parent, and Hand over bills them at the agreed price, payable from their advance. See Orders and pending deliveries.
The set discount
- It applies only to lines added from the published list, without a manager, whatever the cashier's usual discount limit.
- A pen, a bag or a book not on the list, added to the same bill, is charged its normal price.
- Promotions never apply to set lines; they carry the set discount instead.
- If a cashier raises the discount on a set line above the set discount, the usual limit applies again.
Parents who paid ahead
Take the advance on Khata (customers) first (Customer advances). At the till, choose the parent with F4, add the set, and on F9 use From advance. The rest of the advance stays held for the books still to come.
Rules worth knowing
- Never substitute an edition. A set line must stay exactly the item and unit on the list. If a set line's unit is changed, the bill is refused: "… is not that item of the school list. Never substitute an edition silently." To sell a different edition, add it as an ordinary line at its normal price.
- Lists change between bills. If a new version of the list was published while the set was on the bill, the bill is refused: "That school list has a newer version. Reload the set and add it again." Clear the set lines and press F6 again.
- Stock is checked when the bill is saved, like any bill. Copies held for another parent's order cannot be sold.
Common questions
A parent needs two sets for twins. What do I do?
Add the set twice with F6, or change the quantities on the set lines. Each line keeps its set discount.
The school allows either of two atlases. How does the parent choose?
They are a choice group on the list. In the School set window, one is ticked; untick it and tick the other.
Can I sell a set from last session's list?
Only published lists are on sale, and each session has its own list. Copy last session's list and publish it for the new session first.
Does the receipt show the set?
Each line prints as usual with its discount. The bill does not print a separate set heading.
